How to Write an RFQ for Marine Hydraulic Parts That Gets an Accurate Quote
A vague enquiry leads to slow replies and the wrong part. Here is what to include in a request for quotation for hydraulic pumps, motors and valves.
When a hydraulic pump on a deck crane fails or a winch motor starts leaking, the pressure is on to get a replacement quickly. The fastest way to get the right part is not to send more emails — it is to send one complete request for quotation (RFQ). A supplier can only quote accurately on the information it receives, and most delays come from missing details that have to be chased afterwards.
This guide explains what to include in an RFQ for marine hydraulic parts so that you receive an accurate quotation the first time.
1. Start with the part number — exactly as marked
The single most useful piece of information is the manufacturer's part number or model code. Copy it exactly as it appears on the nameplate or in the parts manual, including dashes, slashes and suffixes. On hydraulic pumps and motors, the suffix often defines the shaft, port orientation, rotation direction or control option. Two units with the same base model but different suffixes may not be interchangeable.
If you are working from a parts manual, include the manual reference and the item or position number as well.
2. Send a clear photo of the nameplate
Nameplates on marine equipment are often painted over, corroded or partly worn. A photo lets the supplier read details you may not think are important, such as serial numbers, displacement codes or production dates. Take the photo in good light, straight on, and make sure it is in focus. A second photo showing the whole unit in place is also helpful.
3. Describe the equipment it belongs to
Tell the supplier where the part is installed: the equipment maker, model and type — for example, a mooring winch, deck crane, steering gear or hydraulic power unit. This context helps confirm that the part number is correct and helps identify alternatives if the original is no longer available.
4. Include the operating details for pumps and motors
If a part number is missing or unreadable, the operating data becomes essential. For hydraulic pumps and hydraulic motors, useful details include:
- Pump type (axial piston, gear, vane) and displacement
- Working pressure and flow
- Direction of rotation
- Shaft type and dimensions
- Mounting flange and port sizes
- Control type, if any
5. For valves, specify the medium and the connection
For marine valves, state the valve type, size, pressure rating, body material, end connection standard and the medium it handles — sea water, fuel, lube oil or hydraulic oil. For hydraulic valves, include the valve function, size, voltage of any solenoids and the part number of the existing valve.
6. State quantity, urgency and delivery location
Give the quantity required and where the goods need to be delivered — a port, a shipyard or a warehouse. If there is a deadline, such as a vessel's port call or a dry-dock date, say so. It helps the supplier plan the sourcing route and tell you honestly whether the timing is achievable.
7. Say whether alternatives are acceptable
Sometimes the original part is obsolete or has a long lead time. Tell the supplier whether you will consider an equivalent or reconditioned part, or whether only the original will do. A good supplier will always identify an alternative clearly and never substitute without your approval.
A quick RFQ checklist
- Part number or model code, exactly as marked
- Nameplate photo and a photo of the unit installed
- Equipment maker, model and application
- Operating data if the part number is unavailable
- Quantity and delivery location
- Deadline, if there is one
- Whether alternatives are acceptable
